What is contractor management software?
Contractor management software is a system for engaging, verifying, scheduling, supervising and paying third-party workers and subcontractors. It replaces the email-and-spreadsheet routine with digital onboarding, tracked insurances, licences, tickets and medicals, site inductions, compliance-gated scheduling, mobile timesheets and safety capture, and an audit trail per contractor, site and job.
- Digital prequalification and onboarding instead of chased PDFs
- Insurance, licence, ticket and medical expiries tracked automatically
- Site inductions issued, completed and recorded before the first shift
- Non-compliant workers blocked from allocation, not turned around at the gate
- Hours approved once, then used for contractor payment and client billing
Core features of contractor management software
Prequalification and onboarding
One digital pack collects ABN, insurances, SWMS, policies and signed terms before a contractor is approved to work — no chasing PDFs by email.
Licence, ticket and medical tracking
Every high-risk work licence, Standard 11, coal board medical, HV authorisation and VOC held with an expiry date and automatic reminders.
Site induction and access control
Site-specific inductions issued, completed and recorded, so only inducted and current workers can be allocated to that site.
Compliance gating before dispatch
The schedule blocks anyone whose insurance, ticket or medical has lapsed, which stops turn-arounds at the gate and stand-down costs.
Scheduling and allocation
Contractors, labour hire and your own crews on one board, allocated by skills, availability, site requirements and travel.
Mobile timesheets and job capture
Hours, plant, materials, photos and client sign-off captured on site by the contractor, coded to the job and task as they work.
Rates, approvals and payment
Contractor rate schedules, supervisor approval of claimed hours, and clean data out to invoicing, RCTI or accounts payable.
Safety records and audit trail
Take-5s, JHAs, hazard reports, incidents and toolbox talks stored against the contractor and the job for client and regulator audits.
How it works, end to end
Prequalify
The contractor completes a digital onboarding pack: entity details, insurances, safety documents and signed terms.
Verify
Licences, tickets, medicals and insurance certificates are checked and stored with expiry dates against each worker.
Induct
Site-specific inductions are issued and completed before the first shift, with completion recorded automatically.
Engage and schedule
Approved contractors appear on the schedule alongside employees, and lapsed compliance blocks allocation.
Work and capture
Hours, plant, materials, safety forms and sign-offs are captured on the job in the mobile app.
Approve, pay and report
Supervisors approve once. The same record drives contractor payment, client billing and a compliance report per site.
Real examples
Mining maintenance contractor
Runs its own fitters plus subcontract labour across several mine sites. The system holds Standard 11, coal board medicals and site inductions, blocks dispatch when one expires, and produces the compliance pack the client asks for each shutdown.
Principal contractor on a shutdown
Twelve subcontract crews arrive for a two-week window. Prequalification, inductions, permits and daily hours are managed in one place, so scope, spend and compliance are visible day by day instead of after the event.
Labour hire and blended crews
Casuals, labour hire and direct employees work the same jobs on different rates. One schedule and one timesheet flow handles all three, with pay and charge rates separated.
Civil and industrial services
Subcontracted plant operators supply their own machines. Plant registers, pre-starts, insurances and hire rates sit against the same job as the labour.
Benefits you can measure
- No worker on site with a lapsed licence, medical or induction
- Onboarding measured in hours instead of weeks of email chasing
- Client audits answered from a search rather than a scramble
- Contractor hours approved once and used for payment and billing
- Visible contractor spend against the job budget while work is live
- Lower stand-down and rework costs from gate turn-arounds
What contractor management software is not
A supplier prequalification portal alone
Verifies the company's paperwork, but has no schedule, no timesheets and no job costing — so day-to-day work still runs on spreadsheets.
A rostering or clock-on app
Gets people on shift and paid. It does not hold insurances, inductions or competency expiries, and will not block a non-compliant allocation.
Accounting or AP software
Pays the contractor's invoice. It cannot tell you whether that contractor was inducted, insured or ticketed for the work performed.
What it costs in Australia
Most platforms sold here are priced per user per month, commonly between about $30 and $150, sometimes with a per-contractor or per-site charge and a one-off implementation fee. Compare it against what a single gate turn-around, a stand-down day for a crew, or a failed client compliance audit costs you — that is usually the honest business case.
Australian compliance to plan for
As a person conducting a business or undertaking you share duties for contractors on your sites under Safe Work Australia WHS duties . Getting the employee-versus-contractor distinction right matters for pay and entitlements, covered by the Fair Work Ombudsman , and contractor payment obligations including PAYG and super are set out by the ATO .
